We strive to protect your personal data in the best possible way, which means we continuously assess our data processing methods and the risks they may have on your privacy.

In general, we only process personal data for specific purposes and based on legitimate interests.

Personal data we collect directly from you

We collect information directly from you when you contact us through our website contact formula, via our company email, or when visiting us at an exhibition.

When filling in our website contact formula, you will be asked to provide us with your name, your company email address and your company telephone number. The information collected is used for making contact when processing your enquiry. You will be asked to give your consent to our processing of your personal data before you can send the message.  

We have continuous access to statistics on most visited sites and where you are located (city, country). This information may include IP address as well as data and time of access. This information is used for optimising and improving visitors’ overall experience of our website. It is not possible for us to recognise individuals from this information.

We have chosen only to use technical cookies which ensures the website to function without any issues. 

How we use your information

• process product enquiries and orders, as well as technical questions and requests
• send you relevant product information updates, news and notifications of changes to our services.
• to carry out contractual obligations which has been agreed between you and us
• process your job application
• process your distributor application

We will log your personal information in our systems for as long as necessary for the relevant activity. Hereafter your data will be deleted.

Who has access to your information?

We do not and will not sell or let out your information to third parties and we will not share your information with third parties unless they are data processors working on our behalf or distributors representing us.  

Data processors working on our behalf: we may pass your information on to our data processors which supply us with different management- and security systems. When we use data processors, we have a contract in place that requires them to keep your information secure, not to use it for their own direct marketing purposes and to be compliant with the EU General Data Protection Regulation.  

Distributors representing HSA Systems: we are represented by professional distributors throughout the world. Enquiries we receive are often forwarded to an HSA Systems distributor in the country from where we have received the enquiry or to the closest distributor in a nearby country. Enquiries from EU-based companies will always be forwarded to distributors within the EU who are legally required to be compliant with the EU General Data Protection Regulation. 

Your choices  

You are entitled to receive a copy of the information we hold about you. If you want to know what data we have registered about you, how it is processed, which data processors may be receiving and processing your data, or if you want your data deleted or take exception to our processing of your data, please send your request to us via email on privacy@hsasystems.com and we will return as soon as possible and no later than one month after we have received your request.

We want to keep you updated on relevant product information and services, but it is up to you whether you want to receive this information from us. When you contact us via our contact form you can select which information you want to receive by ticking the relevant boxes. You can change your marketing preferences at any time by contacting us using the above contact information.

To ensure that your information is treated securely at all times, we have internal procedures in place on information- and data security. We always strive to protect your personal information however we cannot guarantee the security of information you transmit to us, and you do so at your own risk. Non-sensitive data, such as your company email address, are normally transmitted over the internet and the security here can never be 100% guaranteed, but once we receive your information, we do our very best to ensure its security in our systems. 

We always make sure that our systems are up to date, having privacy set as default and minimise employee access to systems containing personal data.
